You’re juggling a million things that have to fit into a tight budget: speakers, venue, food, booklets, handouts, maps, signage, social media, website…

And somehow, all of those million things have to be connected to create something impactful and memorable.

Does this sound familiar?

You start with the same ideas you had last year, but two weeks out from the event, you realize you missed some marketing opportunities or day-of collateral in the scope of your contract with your designer.

Now you either have to get budgetary approval for new work or task a staff member or volunteer with designing your items and they won’t match up quite right.

Or maybe you’re just not quite sure how to leverage your event to meet your goals, provide an awesome experience for attendees, or get in front of the right sponsors.

  • What do you really need for your event to be a success?
  • Can you make this year better without adding more stress?
  • How can you stay on top of it all?

Here’s The Plan: A Perfectly Designed Event

Know all of the million things that your event needs — well in advance.

Specializing in document & materials design, for 6+ years I’ve worked with clients like the American Heart Association, JewishColumbus, and the Medical Society of the District of Columbia in putting on memorable events.

I’ve helped my clients raise funds, build community, and spread the word about important issues. I also help them build solid and smart communication pieces so they connect better with potential attendees.

I’ve used my experience to improve my clients’ events, through strategic additions to their plans and smart design choices that improve logistics. I’m pumped to provide this knowledge from the start for new clients!

I know what materials a great event needs.

In just 3 weeks (and detailed analysis on my end), I’ll create a custom & comprehensive materials Plan on everything your event might need, from promotional materials to day-of collateral to digital assets.

The Plan: A Perfectly Designed Event will:

  • Determine materials & designs you can strengthen
  • Highlight potential new opportunities for promotion & overall event quality.
  • Include a full scope of work with a suggested timeline
  • An investment level so you have a flat fee for budgetary approval

I wanted to freshen up how my association presented my meeting, to show how progressive and modern it was (as well as how forward-looking my association was). Working with Kate, she created dynamic annual meeting branding, with a program booklet that multiple people came up and complimented me on during the meeting. Kate’s creativity and vision helped place my Board and staff in the best possible light, and had attendees of our meeting walk away with something that conveyed a sense of ‘the best is yet to come!’

All you have to do: a one hour call & grant me access to past event materials

I do the rest.

How This Works

w

Researching The Plan

You’ll fill out a questionnaire and share past event materials with me (all print and digital outreach information, day-of collateral, follow up materials, etc.).

We’ll hop on a 1-hour call where we review the challenges in previous events & your plans for this year’s event.

Week 1

Planning The Plan

I do a deep analysis of the materials, putting all of it into a detailed report that’s easy to understand.

I’ll lay out actionable items along a suggested timeline. Items will include things you’ve thought of before (like social media graphics for speakers) and new ideas you haven’t (like a passport of top tier sponsors to encourage attendees to visit their booths).

Week 2

l

Here’s The Plan

I synthesize all of my findings and recommendations into a comprehensive PDF report that you can share with your team, presented via a video walkthrough. Watch it whenever you want, share it, and use it.

I build every Plan to be able to stand on its own. You’ll know what the next steps & investment level will be if you choose me to execute the design. You can also take it to your in-house marketing team or hire another designer – we’re under no obligation to work together.

Who is this a good fit for?

  • Annual, quarterly, or recurring events
  • Associations, non-profits, small business, and large conferences who want a brand-cohesive event & fewer last-minute surprises
  • Marketing teams, so they can take the planning off their plate & have more time to execute.

What “The Plan: A Perfectly Designed Event” isn’t:
The Plan is built for you to move forward with the materials on your next event, but it doesn’t include the design of any of your materials. No event branding or initial concepts will be presented as part of this service.

If you want to use me to execute your design materials, we can turn the investment level into a paid contract and get you on my schedule.

Why trust me?

I’m obsessively detailed-oriented about making all of your event materials cohesive, strategic, & easy to implement. I’ve worked on dozens of events & know what they need to be a success.

But my favorite event design story was for something far more personal. When my sister asked me to throw her a baby shower, I found a set of 3 patterned blankets on her wish list. Those patterns became the event branding that brought the whole party together.

I recreated the patterns and made invitations, put the patterns on wooden picture frames, folded sheets into origami boxes for snacks, and made garlands to hang over the doorframes.

My sister loved it. The pictures look fantastic & it’s a party we’ll all remember for ages to come.

Now just imagine how obsessively-detailed event designs are that I make for my clients...

Your design has lifted the overall perception of how events are viewed at Federation. They seem more professional and organized from the start, and that’s important to me as a career event planner in the non-profit world.

Some Frequently Asked Questions

What do I get with The Plan?

When you purchase The Plan, we’ll hold a consultation call and then I will do a deep analysis of the materials you provide me from the most recent time you held your annual event. I will summarize my findings for you, with actionable suggestions on how to expand your reach and incorporate design elements that will help you reach your stated goals. My findings will include a complete list of materials you’ll need to execute the plan and a general timeline for when you can deploy communications pieces.

You’ll receive a PDF report as well as a video walkthrough. If your event will fit in my schedule, I will also provide a level of investment for your scope, which you can use for budgetary approval.

What do I have to do?

Once you pay and book, there are a few things I need from you to properly and thoroughly analyze your event.

You’ll fill in a form with some background about the event. You’ll also upload the materials from the last time you held this event to a Dropbox folder you’ll be invited to. Both of these things need to be done at least a week before our call.

After that, all you have to do is chat with me for an hour about your awesome event. I’ll be asking targeted questions to help me determine what’s been going well for you and where we can improve. After that, sit back and wait a few weeks for your amazing Plan to be delivered!

What if my event is not annual or is new?

No problem! If your organization has done other events of a similar scope or for a similar audience, we can dig in to the materials on those and see what will transfer over.

And if you’re throwing a brand new event (especially if you’re new to event planning), you may not know what you don’t know. We’ll discuss communication strategies and make sure you cover all of your bases. It would be such a bummer to sink so much effort into something and miss the few things that could have ensured you reached your goals!

Do we have to work together on the event?

Absolutely not! You’re free to use The Plan to get some fresh ideas to shake up your annual event, but plan to use your own marketing team or another designer to execute it. Likewise, if your event falls during a particular time of year where I already have too many projects booked, I may not be able to offer you an investment level that can be turned into a contract between us. If you know you’re interested in hiring me for the design after we complete The Plan, I recommend booking one of my 15 minute intro calls first.

Will I see design concepts at the end?

The Plan is built to be a stand-alone consultation and analysis of what you’ve already done. No designs are provided as part of this service.

Once you receive the report and investment level, we will discuss if you’d like to move forward with me as the designer for your event. At that point we will discuss theme, concepts, and branding for the next iteration of your event!

Did you really go that overboard for your sister's baby shower?

Yup, truly. I was decoupaging wooden frames for favors using the printed patterns for about 3 hours.

And I could tell you all about my friend’s wedding shower. I designed an invitation with one of those banner pennants, which I then ended up recreating both in fabric to hang in the living room and a teeny paper, string, and skewers version for the top of the cake.

And for my big kid’s 5th birthday, I made 80 sugar cookies decorated with mini M&Ms to look like dominoes. (It was a whole Rube Goldberg thing chosen by the birthday kid.) Like, learned to make royal icing because I love a theme and I want to do stuff right.

Let me unleash this level of detail on your event and we’ll create something great together! (But I will not be fabric shopping.)
